The GBTA St. Louis chapter held its annual Education Day on August 26 at the Charles F. Knight Executive Education & Conference Center, bringing together business travel professionals for focused discussions on how AI is reshaping corporate travel. Sessions centered on the future of business travel, with particular attention to where travel managers fit as AI tools become more deeply embedded in booking, policy enforcement, and supplier relationships.
A core theme was the shift from rigid, rule-based systems to more flexible AI-powered platforms. Traditional non-AI booking tools apply policy parameters strictly — often blocking options that fall outside preset rules. AI platforms take a more pliable approach: they still respect core policy parameters but can evaluate trade-offs and justify recommendations when an out-of-policy option is more cost-effective, operationally sensible, or better aligned with traveler needs. This capability extends to policy-exemption approvals, enabling faster and better-informed decisions that support smarter overall spend rather than simple binary compliance.
AI is also delivering smarter, personalized recommendations by drawing on a traveler’s booking history and preferences. The result is less friction for the traveler and higher-quality itineraries that still stay within (or thoughtfully navigate) corporate guidelines.
These advances are changing how travel managers interact with platforms and redefining their day-to-day role. As AI handles more of the operational heavy lifting — routine bookings, basic policy checks, and initial recommendations — travel managers gain capacity to move beyond transactional work. The emphasis is shifting toward higher-value activities: delivering stronger customer service, developing strategy, and cultivating deeper, more strategic relationships with travel partners and suppliers.
AI is not replacing travel managers but elevating their contribution. By reducing operational friction and automating lower-level decisions, the technology frees professionals to focus on the strategic and relationship-driven aspects of business travel that deliver lasting value to their organizations.
